We are seeking a dynamic and personable Receptionist, with a passion for aesthetics, to join our plastic surgery and medical spa office located in Palo Alto.
As the first point of contact for our clientele, you will play a pivotal role in delivering exceptional customer service and maintaining the professional atmosphere of our practice.
1.
- Greet clients warmly and ensure they feel welcome and comfortable upon arrival.
- Manage incoming calls, directing them to the appropriate individual with efficiency, accuracy, and professionalism.
- Schedule appointments accurately using our appointment booking system, ensuring optimal time management and minimal scheduling conflicts.
- Respond to inquiries via phone, email, and in-person with courtesy and promptness.
-Create invoices and take payment from patients using Quickbooks
- Maintain a clean and organized front desk area, ensuring a polished and professional appearance at all times.

- Establish and foster positive relationships with clients, providing them with information and assistance as needed.
- Address client concerns or questions promptly and escalate issues to the appropriate personnel when necessary.
- Communicate effectively with clients regarding appointment reminders, follow-ups, and other pertinent information.

- Assist with basic administrative tasks such as filing, scanning, and data entry as needed.
- Collaborate with other team members to ensure smooth office operations and uphold high standards of service excellence.
- Maintain confidentiality of client information and adhere to HIPAA guidelines at all times.
- Previous experience in high end customer service or front desk role preferred.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Strong organizational abilities and attention to detail, with the ability to multitask effectively.
- Proficiency in basic computer skills and familiarity with office software applications.
- Ability to maintain composure in high-pressure situations and adapt to changing priorities.
- Mature and responsible attitude, with a commitment to upholding the reputation of our office in the community.
