The Stanford Doerr School of Sustainability Facilities Operations Team seeks a full-time proactive, solutions-oriented Facilities Specialist 1 to perform a wide array of work activities while supporting the operations, maintenance, repair, upkeep, finances, and inventory tracking related to the operational readiness of our buildings.
Such facilities include three main campus academic buildings, the Huffington Barn at the O’Donohue Family Stanford Educational Farm, the Hopkins Marine Station campus in Monterey, CA, and other off-site locations.
This is an individual contributor role.

Your Responsibilities will include: Serve as property operations/maintenance point of contact for facilities-related issues in assigned building(s), unit(s), lab(s) Examples include initiating work requests and monitoring the completion of routine maintenance service tickets via the ServiceNow help ticket management system and/or internal Stanford Buildings, Grounds, Maintenance (BGM) work order system (ex: trash, utilities, custodial, pest control, long-term preservation, inspections, grounds, landscapes, alarms, systems & equipment) Perform condition assessments based on appearance; initiate preventive maintenance course of action where needed.
Identify, recommend, and implement building operational process modifications for increased productivity and/or cost reduction.
Coordinate maintenance logistics.
Assist in the processing/management of service tickets, work orders, and purchase orders.
Assist in the handling of property administration by completing tagging, data entry, and inventory under the supervision of the Stanford Doerr School property administrative team.
Implement facility security initiatives by distributing keys, providing building access via the Lenel Card Reader system, monitoring access records/data, and assessing and changing access schedules.
Complete project coordination by performing the assigned tasks within department projects; acting as a project coordinator/liaison; and overseeing and executing projects (limited to small, local projects) where needed.
Work order and purchase order assistance as needed.
Assist in safety management coordination and communication and participate in emergency preparedness, recovery, and business continuity coordination.

Knowledge, Skills, and Abilities: Interpersonal skills and mature judgment are required to interact effectively with a broad range of people, including faculty and vendors, both individually and in groups.
Ability to coordinate and manage multiple projects with competing priorities, meet deadlines, and project plans with short- and long-term end dates.
Working knowledge of applications such as Excel, Word, PowerPoint, and Project.
Experience working with internal and external vendors and services contracting.
Background knowledge of emergency preparedness plans and their implementation, property administration specific to PO tracking, receiving, and inventory control.
Certifications and Licenses: Valid California Non-commercial Driver’s License.
PHYSICAL REQUIREMENTS*: Frequently stand/walk, seated, performs desk-based computer tasks.
Occasionally climb (ladders, scaffolds, or other), twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, use a telephone, writing by hand, lift/carry/push/pull objects that weigh up to 20 pounds.
Rarely kneel/crawl, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.
Ability to obtain and maintain a California Non-commercial Class Driver's license and drive day or night.
