The Multi-Site Assistant Property Manager must provide service in a helpful, friendly, and professional manner and be always diplomatic when resolving resident and employee concerns.
Ability to work well with all levels of personnel including asset managers/owners, company management, staff employees and vendors.
The Multi-Site Assistant Property Manager or MSAPM will create an atmosphere that establishes a community where it is pleasant to live and work, providing superior service to all residents.
The MSAPM must be resourceful and attentive, operate at a high level of competence to partner with the existing Property Manager on site or be able to solely manage the asset effectively and efficiently.
(S)he must always demonstrate a superior knowledge of the competitive marketplace.
This position requires that the candidate adapt to and learn all the different client/ownership requirements and reporting responsibilities.
(S)he must represent the corporate office in a professional manner at all times.
This position requires flexibility and adaptability with regularly changing schedules and worksites throughout the Woodmont portfolio.
In addition to the temporary on‐site Multi-Site Assistant Property Manager responsibilities, when not assigned to a community, a MSAPM must be ready to assist with any on‐boarding or training needs related to new Property Manager, Assistant Property Managers (new either to the position or to the company) or Leasing Consultants.
They must be ready to act as mentor and peer resource to help new Property Managers or Leasing staff understand processes and procedures related to the specific property and ownership group as well as Woodmont.
*Essential Job Functions:* All references to “assisting” or “at the direction of” the Property Manager may include performing the particular function in the Property Managers absence.
Responsible for creating a sense of urgency when making appointments for prospective residents to visit the community.
Requires proper completion of telephone and on site guest cards; follow-up with all prospects.
Maintain minimum “shop score” of 80%.
Maintain minimum leasing ratio’s of: 50% phone calls converted to in person appointments, 33% of tours converted to rentals.
Update internet advertising a minimum three (3) times daily.
Maintain office/models, “focus” apartment homes and marketing corridor in a clean, neat and orderly fashion at all times in accordance with Multifamily Operations Manual.
Greet, qualify, tour and close the rental to prospective residents with a positive, enthusiastic approach as outlined in the Multifamily Operations Manual.
Accurately prepare all forms associated with lease application and move-in files, leasing reports, traffic and phone logs.
Enter all pertinent data into RealPage or other approved property management software.
Process and handle lease renewals in accordance with approved policies.
Create and maintain accurate and thorough resident files, ensuring all required documents are properly signed and filed properly in resident file.
Have a thorough knowledge of neighborhood, schools and community as well as competitive properties in the area.
Conduct final apartment inspection prior to resident move-in.
Handle resident concerns, initiate and close out work orders/maintenance requests, work with vendors and staff with a friendly positive approach.
At the direction of the Property Manager, assist in community outreach.
At the direction of the Property Manager, assist with accurate and timely completion of administrative reporting and filing.
Assist with vendor and resident move out coordination.
Process vendor invoices.
Process move out deposit refunds (FAS) through RealPage.
Assist Property Manager with day to day operations such as updating journals on a daily basis, operating computerized on-site operation and collection program duties related to collecting rent and bank deposits of rent OR use of the electronic check scanner.
Assist Property Manager with ordering sufficient stock of office supplies and collateral materials.
Prepare and serve delinquent notices, 3 day notices, and filing of unlawful detainer actions in coordination with Credit/Legal Department and Property Manager.
May assist Manager with coding and submitting of invoices to Regional Manager and/or Accounts Payable Specialist as required.
Assist Property Manager with staff development and ensuring proper training of all employees.
Maintain apartment building rules and regulations.
Maintain confidentiality of sensitive personal information of applicants and current and former residents Organize and prioritize a variety of projects and multiple tasks in an effective and timely manner.
Organize own work, set priorities and meet critical time sensitive deadlines.
Maintain a valid Driver’s License and legally required auto insurance as there may be times that you will be required to drive for business purposes.
Complete invoices and expense reports bi-weekly and submit to HR to coincide with due date for Time Sheets.
Participate in job related seminars and attend company events.
