*Administrative Assistant and Accounts Payable Associate* *Reports to*: Director of Accounting *Department*: Accounting *Classification*: Full Time *Location:* Hybrid (mostly remote with some expected on site at Palo Alto and/or Costa Mesa campuses) *General Description:* The Accounting Department has two sections: General Accounting and Student Accounts.
This position is focused in the Student Accounts section and provides financial, accounting, administrative, and clerical assistance to the accounting departments with primary focus on student accounts and secondary support to the accounting department.
Must be a team player who enjoys working with students, faculty and other staff member to solve new challenges.
*Position Responsibilities*: · Communicate department updates to students and staff.
· Assist students in understanding their account statements and financial obligations.
· Post student checks · Conduct payment plan calculations and late payment fee assessments, and record transaction in university’s financial system.
· Regularly update billing codes to reflect changes in tuition, fees, and scholarship awards.
· Maintain and update controlled forms as required.
· Update policies and procedures as needed.
· Assist with conducting student accounts reconciliation.
· Maintain and update tuition and fees information in the catalog and on the website.
· Participate in Orientation and other student facing functions.
· Support Accounts Payable division with payment processing; Prepare and process payments, including checks, wire transfers and ACH transfers.
· Assist with analyzing Accounts Payable items, with focus on travel expense reports, for accuracy and compliance.
· Review and verify incoming invoices for accuracy, completeness, and compliance with company policies.
· Perform credit card reconciliation.
· Assist with recordkeeping duties.
· Other projects and duties as assigned.
*Qualifications:* · Strong inter-personal and verbal communications skills, including the ability to deal with critical issues.
· Highly computer literate with capability in email, MS Office and related business and communication tools, with particular focus on Excel and Adobe Acrobat.
· Independent initiative, sound judgment and developed decision-making abilities.
· Ethical commitment and ability to align with Sofia’s values and mission.
· Excellent written and verbal communication skills.
· Strong organizational and time management skills.
· Meticulous attention to detail.
· Exposure to Higher Education work environment considered an asset.
