The ideal candidate will have experience in administrative tasks and possess excellent communication skills.

* Office Maintenance: Ensure the office is clean, well-organized.
* Communication: Act as the primary point of contact for internal and external stakeholders, fostering effective communication and collaboration.
Answer incoming phone calls and provide assistance as needed.
* Facility Coordination: Coordinate with building facility teams, vendors, and service providers to address repair and maintenance needs.
Maintain accurate records of parking spaces, permits, and usage for employees and visitors.
* Vendor Management: Source with vendors and service providers for various office-related services and products.
* Scheduling: Schedule meetings and appointments to enhance productivity and time management.
* Supply Management: Monitoring, ordering and replenishing office supplies, ensuring a steady inventory of essential items.
Refill and maintain kitchen snacks.
* Global Team Support: Facilitate communication with overseas teams for on-site activities.
* Event Planning: Assist the planning and execution of both on-site and off-site office events &meetings.
Manage event logistics, including catering, materials, and presentation setups.
* Financial Management: Track expenses and maintain precise financial records.
Collect and reconcile credit card transaction data.
* Catering Services: Handle daily catering services and collaborate with vendors to plan office lunch menus.
* Other duties as assigned.

* Exceptional internal and external customer service skills.
* Professional appearance and demeanor.
* Ability to work independently and collaboratively, with excellent written and verbal communication skills.
* Proficiency in Microsoft Office365 (Excel, Word, Outlook), Google Suite
* Bilingual proficiency in Chinese Mandarin and English as the successful candidate will be required to communicate with business partners in China
* High School Diploma or BS/BA preferred.
* Experience in administrative functions or as a receptionist.
