About the Role:
Wing is looking for an organized and self-motivated Administrative Business Partner (ABP) to join our team based in Palo Alto, CA.
You will be at the heart of our business operations and activities and keep your executive & their teams moving forward.
You'll anticipate the needs of your executives and help them stay productive and effective by resolving operational and administrative issues before they arise.
This position requires resourcefulness, exceptional attention to detail, and the ability to effectively navigate ambiguity in a fast-paced, high-growth environment where priorities are constantly shifting and evolving.
In addition to being organized and analytical, you have strong judgment and communication skills needed to interact with a variety of people and job functions, both internally and externally.
What You'll Do:
Full administrative support of one or more executives and their teams to increase productivity
Complete detailed tasks accurately and efficiently, including proactive calendar management, travel arrangements, and preparing and tracking expense reports
Coordinate executive and team meetings, ensuring materials, agenda, attendees and room/equipment are prepared.
Follow through with note taking, tracking action items, and sending summaries
Plan team offsites and events to support Wing's culture, with some travel required
May assist with functional and/or Wing-wide special projects as needed
Collaborate closely with the ABP team to ensure success of cross-functional meetings, events, or projects between multiple offices, time zones and remote teams
Improve existing administrative processes and create documentation as necessary
Manage internal and external communications with urgency and sensitivity with all stakeholders
Support onboarding experience and process for new executives and team members across your org
Maintain confidentiality with sensitive information, and use good judgment where needed
What You'll Need:
5+ years of administrative experience at a quickly-scaling company with operations across multiple time zones
Experience directly supporting multiple C-suite executives at once
Ability to thrive in an environment that is rapidly changing and navigate ambiguity with minimal guidance
Ability to multitask and reprioritize tasks as needed
Experience with internal company tools and technologies
Ability to handle sensitive information and situations with care and confidence
Strong communication and collaboration with a range of people and job functions
Comprehensive knowledge of process, project and program management theory and practices - and the ability to apply them when solving operational issues
Experience serving as a medium to large scale project lead from conception to completion
The US base salary range for this full-time position is the salary range below + bonus + equity + benefits.
Wing's salary ranges are determined by role, level, and location.
