An established San Mateo law firm is currently seeking a Front Office and Client Service Coordinator to independently oversee the day-to-day firm administration and be the firm first point of contact.
This is a full time, onsite position.
The Front Office and Client Service Coordinator participates in the firm’s overall mission by providing top quality services.
An ideal candidate is a person who can work independently, meet deadlines and that can make our customer experience a great one.
Founded in 1953, McDowall Cotter is a San Mateo based law firm that provides a common-sense approach to legal services in the practice areas of civil litigation, business and wealth preservation.
The setting is a professional office in San Mateo on the Foster City border where highways 92 and 82 meet.

Ideal Candidate: Charismatic, trustworthy and pro-active Mature, responsible and someone who values personal growth Attentive to all details that make our clients feel welcomed and important Able to handle the pressure of being the face of the firm Essential duties and responsibilities Meet and greet clients, vendors and other visitors to the firm; both in person and over the phone Resolve, respond to client inquiries, seeking out answers and resolving issues Data Entry: using, Clio (contact and scheduling information), MS Excel, MS Word, Wealth Docs/HotDocs File intake and initial set-up.
Using Clio, create new matter, associate appropriate contacts File, scan, archive and file destruction Support Legal Library: Library updates, inserts and pamphlets Manage, receive mail and deliveries.
Incoming and Outgoing mail (USPS, courier, FedEx etc.
).
Pitney Bowes Postage Stamp Machine Operation Copy documents, send copy jobs out to vendors and attend to copy machine and communicate with vendors when problems arise Scheduling and calendaring Clients Prepare Binders for Wealth Management Clients and Litigation needs Assist with projects as needed Bank deposits - (back up) Assist event coordinating (Mediation & arb, meeting preparation, food/lunch orders.

Housekeeping.
Qualifications: Education: Associate of Arts degree or equivalent Knowledge: Understanding client service practices especially as they pertain to a legal service organization.
Understanding of the essentials of providing customer service that results in sustainable customer satisfaction.
Experience: 2-5 years’ experience in a legal and/or client service environment strongly preferred.
Skill/Aptitudes: Team player with a focus on helping others to succeed.
Strong relationship-building and customer service skills to meet the needs of the diverse population being served.
A team player who takes a big picture view and contributes to win: win situations and outcomes.
Anticipates needs well, takes initiative and responds proactively.
Works well in a multi-task environment with minimal supervision.
Proficient computing skills especially in the use of MS Office software (Word, Excel, PowerPoint, Outlook preferred).
Proficient use of calendar and database software preferred (Experience with Clio, TimeSlips a plus).
Strong organization skills.
Legal secretary experience a plus.
Physical Requirements: Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Compensation Range: 45,760 – 52,000 annually Competitive compensation salary based upon experience.
