Department/Program Description: Stanford's Physics Department is a teaching and research department in the School of Humanities and Sciences.
For undergraduates, we offer Physics majors and minors with a variety of pathways.
For graduate students, we offer a Physics Ph.
D.
program.
The department has approximately 50 faculty members, over 200 graduate students, over 70 undergraduate students, and approximately 30 staff members.
Position Summary: The Department of Physics is seeking an Administrative Associate (AA) to provide administrative and operational support for the department and the Physics Main Office.
In addition, the AA will provide administrative course support for Physics Intro Series courses.
The AA will work under minimal supervision of the Associate Director of Finance and Operations, and have a dotted reporting line to the Associate Director of Undergraduate Studies.
The AA’s role will be split between the two primary functions of front office operations and course administrative support.
It is critical that the AA possess strong critical-thinking skills, along with the ability to multitask and prioritize tasks, using sound judgment.
The ideal candidate is a friendly, proactive, and dependable self-starter with strong interpersonal and communication skill.
This position requires a high level of professionalism, productivity, accuracy, organization, multi-tasking, independence, sound judgment, and decision-making.
The position requires a motivated person with a positive attitude and a passion for customer service and supporting others to manage a wide variety of tasks in a fast-paced academic environment with frequently shifting priorities.
The ideal candidate should have previous experience managing events and be comfortable with Microsoft Excel and Google Suite as well as learning new systems.
This is a 100% FTE, continuing, non-exempt position.
This position will be based on the Stanford campus.

CORE DUTIES: · Greet visitors, answer the main office phone line and respond to inquiries, and determine and take appropriate action as required.
Serve as a resource regarding a defined set of policies and procedures.
Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
Draft and/or generate routine communications; coordinate production (formatting, copying, etc.
) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
Maintain office supplies and equipment; obtain vendor quotations, as needed.
Coordinate office moves.
May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives.
Track completion of required training.
May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

EDUCATION AND EXPERIENCE: · High school diploma and three years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS, AND ABILITIES: Proficient computer skills and demonstrated experience with office software and email applications.
Demonstrated success in following through and completing routine tasks.
Strong organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize and multi-task.
In addition, preferred requirements include: · Bachelor’s Degree · Experience with Microsoft Excel and Google Drive · Interest in student services The expected pay range for this position is $56,000 to $77,000 per annum.
