Ms.
Guttman Klein will rely on the Office/Home Manager, trusting that work will be handled efficiently, accurately, independently and delivered in a timely fashion.
It will be essential that this position be able to proactively perform a wide variety of support functions independently and therefore, manage Trello daily.
Trello cards must be comprehensive, effective and record due dates and changes to due dates and projects.
This position will collaborate with Team Members in order to carry out various functions.
Success in this position will include working as an Executive Coordinator and tending to the details of the Ms.
Klein’s activities, ensuring office and home functions efficiently at all times.
The position requires extensive knowledge of the company and home, as well as of key personnel (both internal and external).
A strong team member possesses a clear understanding of the company’s aims and objectives and can work effectively, quickly understand the task as well as the objectives, and then then can proceed with minimum guidance and little need for restatement.
Effective communication between this position and office team members, including Danielle Guttman Klein is most fundamental for this position.
Utmost accuracy and proficiency are critical.
The Manager must be dependable, self-reliant, be able to work independently, be quick to understand direction and can carry out direction to the detail, be able to proactively seek out solutions to problems, work efficiently, and can be extremely flexible in a dynamic and fast changing environment.
Discretion and confidentiality are essential attributes for a successful Manager, as is the ability to remain calm and composed, while managing solutions to problems.
*The Key Responsibilities for this general support position (include, but are not limited to): * * *Management of Phone Systems * * Answer phones; screen calls, inquiries and requests, and handle them when appropriate; excellent phone etiquette demonstrated at all times * Retrieve messages, respond and/or distribute them in timely manner * Forward calls when the office is closed, and team is working in another location or on holiday * Update message and employee boxes as necessary * Contact phone company/internet provider if lines out of order or not working properly * *Coordination and Organization of Office * * Coordinate and oversee inventory control and management of orders/supplies/groceries for the office and home * Organize and file all documents both in hard and soft copy versions – maintain efficient filing system for company * Manage Office Finder Binder * Organize, manage and maintain tasks and drive follow up * Handle confidential documents and other communications with absolute discretion * Manage relationships outside the office when President is unavailable, offer assistance and provide appropriate attention * Greet visitors * Ensure absolute adherence to office protocol * Errands / returns * Manage maintenance calendar for Lupine (i.
