The schedule is Tuesday through Saturday from 9:00am – 6:00pm.
This position is primarily responsible for leasing apartments as well as supervising and managing the leasing staff at the direction of the Assistant Manager and Property Manager while maintaining the highest level of communications/public relations with existing residents.
This position will provide service in a helpful, friendly manner, creating an atmosphere in which the community is a pleasant place to live.
Perform job related tasks in an effective, cost saving manner.
ESSENTIAL JOB FUNCTIONS: Coordinate and supervise the leasing team in all aspects of the leasing process including, but not limited to: Application processing, paperwork processing, pre move in apartment inspections, routine property inspections, lease renewals.
Train and be responsible for directing the work performance of the leasing team.
Responsible for creating a sense of urgency when making appointments for prospective residents to visit the community.
Requires proper completion of telephone and on-site guest cards; follow-up with all prospects.
Maintain minimum “shop score” of 80%.
Maintain minimum leasing ratios of: 50% phone calls converted to in person appointments, 33% of tours converted to rentals.
Oversee and maintain the process for updating internet advertising a minimum three (3) times daily.
Oversee the maintenance and condition of office/models, “focus” apartment homes and marketing corridor to ensure it is in a clean, neat, and orderly fashion at all times in accordance with Multifamily Operations Manual.
Greet, qualify, tour, and close the rental to prospective residents with a positive, enthusiastic approach as outlined in the Multifamily Operations Manual.
Accurately prepare all forms associated with lease application and move-in files, leasing reports, traffic, and phone logs.
Enter all pertinent data into RealPage or other property manager software.
Ensure all new residents are enrolled in or signed up for any property required programs (utility billing, renters’ insurance, etc.
).
Have a thorough knowledge of neighborhood, schools, and community as well as competitive properties in the area and ensure the completion of monthly market surveys.
Handle resident complaints, maintenance requests, work with vendors and staff with a friendly positive approach.
Assist leasing staff with logging completed service requests on the company software.
Assist in community outreach, as directed by Property Manager.
Assist Property Manager with administrative reporting and filing.
Assist Manager with day to day operations such as updating journals on a daily basis, operating computerized on-site operation and collection program duties related to collecting rent and bank deposits of rent OR use of the electronic check scanner.
Prepare and serve delinquent notices, 3-day notices, and file unlawful detainer actions in coordination with Credit/Legal Department and Property Director.
May assist management with coding and submitting of invoices to Regional Manager and/or Accounts Payable Specialist as required.
May require driving to the bank to complete any property banking needs.
Maintain confidentiality of sensitive personal information of applicants and current and former residents.
Attend required training seminars and educational opportunities.
Assist Property Director and Assistant Manager with the Resident Portal and Social Media online.
QUALIFICATIONS: Education/Experience: Requires a minimum of a high school diploma.
Preferably one year industry experience with proven sales and customer service skills or two years customer service experience in a retail or hospitality setting.
Language Ability: Effective verbal and written communication skills with customers, coworkers, and management.
Ability to read and comprehend reports and invoices.
Ability to create, compose and edit written materials.
Polished interpersonal skills.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Ability to establish priorities and coordinate work activities.
Computer Skills: Must have excellent computer skills including strong knowledge of Microsoft Outlook, Word, Excel, and the internet.
Experience with RealPage or other property management software a plus.
Should be able to create V-Flyer ads to post on Craigslist and adhere to the policy of posting a minimum of 3 ads per day (depending on availability).
Mathematical Skills: Ability to calculate figures and amounts such as add, subtract, multiply and divide, calculate discounts, interest, bonuses, proportions, percentages.
Ability to apply concepts such as fractions, percentages, and proportions to practical situations.
