What this job involves – This role primarily involves the administration of document management, assets, PMs, job plans, and work orders within the CMMS system.
The opportunity is based at our client, a global pharmaceutical company, where you will support the facilities operations.
Reporting to the Facility Manager of JLL, you will be responsible for providing reliable, timely, and efficient support.
In this position, you will work closely with a diverse group of internal and external stakeholders across various levels of the organization.
It is essential to possess independent judgment in order to plan, prioritize, and organize a diverse workload.
As a support to the CMMS Administrator/Planner, attention to detail, strong organizational skills, and a collaborative attitude are important qualities for success in this role.
What is your day to day? Demonstrate fast and accurate data entry abilities.
Provide support to the CMMS and Maintenance Leadership Team.
Offer customer support, scheduling requested work and clarifying requirements.
Assist in batching and dispatching work orders to facility personnel.
Review and audit work orders for quality and completion before entering them into the system.
Collaborate with facility personnel (mechanics, engineers, etc.
) on drafting and reviewing job plans for preventive maintenance.
Support the CMMS Administrator Planner in audit preparation.
Maintain a clean, organized, and safe workspace.
Ensure compliance with JLL's and the client facility's policies and procedures.
Support and audit project turnover packages for compliance before loading them into the CMMS.
Responsible for managing change requests within the CMMS, including additions and modifications.
Maintain CMMS data integrity and security in accordance with the customer's corporate policies.
Collaborate with the customer and JLL staff to identify opportunities for expanding and improving CMMS use.
Distribute necessary CMMS training materials and conduct training for all users.
Possess understanding of building system types and equipment, such as electrical, mechanical, HVAC, and central utility systems.
Offer backup support for other members of the CMMS Admin team if needed.
Perform other job-related duties as assigned.
Desired experience and technical skills Required High School Diploma or equivalent Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) Excellent data management skills, including data input, organization, validation, and reconciliation.
Attention to detail for accurate data entry and record-keeping in the CMMS.
Effective communication and collaboration skills to work with maintenance teams and stakeholders.
Ability to manage time effectively and prioritize tasks in a fast-paced environment.
Adaptability to learn new systems, tools, and methodologies as technology and maintenance processes evolve.
Analytical skills to analyze data, track maintenance trends, and make data-driven decisions.
Preferred Experience with Maximo is a plus.
Technical knowledge of CMMS systems and related software is desired.
Proficiency in using CMMS platforms for data entry, analysis, and reporting desired.
Previous experience in Life Sciences, Pharmaceutical, or other regulated industries desired.
