JOB PURPOSE Under the general direction of the Director of Fitness, Wellness, and Inclusion, the Fitness Coordinator manages the daily operations of the faculty-staff wellness incentive-eligible personal training and fitness assessment program to ensure best in class service to clients.
Responsibilities include customer service responses; recruiting, hiring, training, scheduling, evaluating and leading part-time staff; registration software management; evaluation and assessment of programs to ensure they meet and exceed industry trends; and tracking various program goals and usage.
CORE DUTIES Program Management (40%) Manage and troubleshoot program operations as it pertains to the associated fitness assessment equipment or registration software system; serve as the point of contact for general maintenance related to program equipment.
Share program information with marketing staff for communication to Stanford community.
Ensure policies and procedures are followed in accordance with established service and safety standards.
Assist with the implementation of standard operating procedures.
Oversee the coordination of fitness program offering including planning and scheduling sessions, coordinating staff schedules, purchasing and maintaining program equipment, and quality assurance.
Develop and maintain positive working relationships with University and/ or community representatives, vendors, and other regular contacts to meet the objectives of the fitness program.
Staff Management (20%) Responsible for the daily management of staff, including the recruitment, hiring, scheduling, motivation, and retention.
Plan, organize and facilitate training, work assignments, evaluations, and if needed, disciplinary action for personnel.
Contribute to the employee procedure handbook.
Administrative Responsibilities (40%) Administrate program online registration system in accordance with requirements from campus partners and Recreation and Wellness.
Respond to routine inquiries via in-person, telephone, and electronic communication modes.
Ensure prompt and effective verbal and written communication with staff, clients, and supervisor.
Implement, administer, and evaluate day-to-day operations of programs; contribute to problem-solving and decisions that impact the direction of the program.
Collect satisfaction surveys and customer response forms; create reports and recommend solutions.
Collect and analyze monthly, quarterly, and annual data, create reports, review to explain and determine and improve methods and procedures to better serve the program and Stanford.
Track the program’s progress against goals and schedule.
Process timecard approval after verifying client/trainer records.
MINIMUM REQUIREMENTS Education and Experience Bachelor’s degree and three years of related experience or a combination of relevant education and relevant experience Knowledge, Skills, and Abilities Independently execute registration software programming for associated program with minimal support.
Demonstrated ability to provide a high standard of customer service.
Strong written and verbal communication skills.
Highly organized and superb attention to detail.
Analytical and problem-solving skills.
Ability to routinely and independently exercise sound judgment in making decisions.
Ability to coordinate daily activities including work scheduling, quality assurance, monitoring of activities, and supervision of personnel.
Basic computer skills, including experience with Microsoft Office Suite and Google Workspace.
In-depth knowledge of current and emerging trends in fitness programming.
Ability to learn compliance with legal, financial, and university policies and external regulations.
Certifications and Licenses: Nationally recognized personal training certification and/or group fitness certification preferred.
Current CPR, AED and First Aid certification preferred.
PHYSICAL REQUIREMENTS Rarely lift/carry/push/pull objects up to 20 lbs.
Frequently perform desk-based computer tasks.
Frequently stand/walk, sitting, grasp lightly/fine manipulation.
Occasionally use a telephone.
WORKING CONDITIONS May travel on campus to schools/units.

This is a one-year fixed term position.
The expected pay for this position is $65,000-$75,000 per annum.
The actual pay will be pro-rated based on the 50% FTE.
Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position.
The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
