Executive Assistant, Advancement Silicon Valley International School (INLT) is currently seeking an experienced Executive Assistant to join its Advancement team.
Our school is a private, bilingual PreSchool-12th grade institution that focuses on language education.
The responsibilities of the Advancement team include fundraising, development, alumni relations, and community building.
As a member of the team, you will play a crucial role in advocating for the school's goodwill, spirit, and philanthropy.
This is an exempt, full-time, fully benefited position which offers a competitive salary and other perks.

The successful candidate will be someone who has experience working in a Development or Advancement environment within a non-profit organization or school environment and can assist in the coordination of philanthropic events.
This position's core duties will include, but are not limited to, Administrative Tasks, Supporting the Chief of Advancement, Stewardship, Supporting Events, Volunteer Coordination, and Department Communication.
The ideal candidate should be able to quickly adapt to meet operational needs, be resilient, welcome constructive feedback, and be open to continuing to learn and grow in their role and our unique environment.
The salary scale for this position ranges from $80,000.
00 to $100,000.
00 Job Duties (Include, but are not limited to): Support Chief Advancement Officer Provides day-to-day support by drafting emails and letters, scheduling lunches, and keeping calendar.
Assists with scheduling of and details related to Major Gift and Development committees Updates agendas, reserves conference rooms, order food and send out meeting minutes.
Supports Annual Fund efforts by managing the Targeted Donors List, writing Targeted Letters, and updating the list for the following year; updating Annual Fund details on the website; adding in off-line gifts online Supporting the Annual Fund Champions (Parent Volunteers) with questions and supplies.
Supports the Capital Campaign by creating folders for asks, taking pictures of students, and assisting with scheduling meetings and major donor events and projects.
Organizes advance materials for the newsletter and annual report (finds photos, creates graphs, etc.
) Internet and database-related duties such as researching Major donors, utilizing online tools to schedule Major Donor lunches, managing Advancement groups through an online content management system, creating mass email messages and event registrations, and managing Advancement webpages.
Stewardship Helps with school stewardship (i.
e.
, sending teddy bears, e-cards, flowers, etc.
) Organizes Advancement Cocktail Gifts for 75 high-level volunteers Has knowledge of the various aspects of fundraising (i.
e.
, planned giving conversations, the importance of social media, etc).
Is an ambassador of the school at all times and stewards any parents and families they come in contact with Event Support Provides event support (attend, prep, and assist), which may include SDV, Gala, INTLConnect, Arts Night, Taste Day, Alumni BBQ, Advancement Cocktail, Phone-a-thon, AF Champion Meeting, Red Carpet, Alumni Reunions.
Works with CAO and Database on Red Carpet matching, emails, e-vite, and event day.
Oversees large wine inventory for SDV events, including keeping an accurate database of each bottle of wine.
Volunteers Supports all school volunteers – work with the human resources department on a list of volunteers who have cleared the fingerprinting process.
Helps create an open and inviting atmosphere in the office Assists PTA in creating maintenance tickets, adding items to the school calendar, updating room parent emails, and annual volunteer luncheon Communications assists with the management of school-wide calendars, creates and schedules school-wide announcements, and push page Creates weekly eNewsletter entries Supports with Photography needs “ghosts” write in another voice, have excellent writing skills, are able to write text from dictations, and have excellent copywriting skills.
Administrative Tasks Manages office supplies: ordering & taking inventory of supply closets Prepares mailings (addressing, stamping, stuffing, and mailing) Ability to make travel or meeting arrangements Capable of carrying out assigned administrative tasks (i.
e.
, filing, making copies, taking meeting minutes) and running errands efficiently Other duties as assigned Position Qualifications/Skills: Associate or bachelor's degree in a related field 4+ years of experience in Development/Advancement or Administrative position, preferably in an academic or non-profit setting Demonstrated experience in all aspects of clerical responsibilities Strong attention to detail [a must], and demonstrate the ability to multi-task in a fast-paced, team-oriented Superb organizational skills; ability to plan, prioritize, and follow through on tasks; manage, initiate, and complete multiple tasks on time Strong ability to work independently, exercise sound judgment, work collaboratively in a team environment, and handle confidential matters with discretion Excellent verbal and written communication skills Strong interpersonal skills and ability to provide prompt, courteous customer service to all school constituents Fluency in MS Office and Google Suites required; proficiency with Mac OS systems; comfortable with technology or demonstrated ability to learn quickly Preferred proficiency in Keynote, iMovie Photoshop, and InDesign preferred The ability to travel (locally) with reliable transportation is necessary, in addition to having and maintaining a valid California Driver's License.
Ability to lift and carry up to 35 lbs.
