JOB PURPOSE: Reporting to the Director of Major Gifts, the Donor Relations Officer will be responsible for managing an assigned portfolio of Hoover Development’s events program to steward the Institution’s major supporters and prospects.
This role will serve as a strategic partner to the Director of Major Gifts and work with the existing Hoover Donor Relations Officer, ensuring program objectives are met while maintaining the high standards of the major gifts’ events program.
This individual will work closely with Hoover Overseers and their representatives and coordinate with internal constituents, including the major gift officers, Director’s Office, and the institution’s Events and Planning Team.
The Donor Relations Officer will ensure that all event deliverables are accurate and completed in accordance with defined timelines.
The officer will also assist in supporting additional donor events as needed.
Limited travel is expected.
CORE DUTIES*: • Project manage a portfolio of in-person and virtual donor events on behalf of the institution by establishing and executing project plans, timelines, tasks, and objectives.
• Partner with the Director of Major Gifts and the Major Gifts Team on all aspects of the event process, including development of timelines, confirmation of dates and venue selections, vendor and budget management, event materials, invitation list development, and coordination of speakers.
• Working closely with the Major Gifts team, support event hosts to ensure that their objectives and expectations are met.
• Ensure event deliverables are accurate and timely, including maintaining response databases, monitoring attendance numbers, managing budgets, and working collaboratively with the Major Gifts team and institutional partners to adjust planning as needed.
• Create briefing materials for the Major Gifts team, departmental, and institutional leadership in advance of events.
• Create event collateral such as invitations, nametags, event programs, leadership cards, and related materials.
• Oversee the seating process for seated meals.
With input from the Major Gifts’ team, organize seating plans and communicate details such as dietary restrictions to outside vendors.
• Vet, contract, and manage vendors, including processing contracts and payments through Stanford’s systems.
• Independently manage donor recognition projects and participate in special projects as assigned.

MINIMUM REQUIREMENTS: Education & Experience: Bachelor’s degree and three years of relevant experience or combination of education and relevant experience.
Knowledge, Skills, and Abilities: • Demonstrated history in creating innovative event planning strategies and successful event collaborations.
• Superior organizational skills.
• Excellent writing, research, and editorial skills; ability to synthesize information and compose clear and effective materials.
• Ability to listen and respond with diplomacy and tact.
• Demonstrated experience managing and coordinating multiple complex projects with competing deadlines.
• Demonstrated competency in budget management and vendor contract relationships.
• Strong attention to detail and ability to quickly understand and remember details about donors and projects to which they are assigned.
• Exceptional customer service focus; excellent interpersonal and communication skills.
• Demonstrated sound judgment in situations requiring independent decision-making and in handling confidential and sensitive material.
• Proficient in MS Office Suite and database applications, including Raiser’s Edge and Aventri.
• Demonstrated project management skills.
Certifications and Licenses: • None PHYSICAL REQUIREMENTS: • Frequently perform desk-based computer tasks, stand/walk, sit, use a telephone.
• Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.
• Ability to obtain and maintain a Non-commercial Class Driver’s license.

The expected pay range for this position is $86,000 - $95,000 annually.
