Gibson Dunn office, the Project Manager – Tenant Improvement will assist with managing the full life cycle of the Firm’s real estate portfolio, including acquisition, interiors construction administration for new/remodeled space and decommissioning.
As part of a team, this role will work closely with the relevant internal team members and external business partners to ensure projects are delivered on time and on budget.
The Project Manager – Tenant Improvement will have full transparency and responsibility for providing support and driving the creation (or acquisition) of contracts, agreements, payment requests, invoices and budget creation and reconciliation, among other content.
Along with the Director of Real Estate, the Project Manager – Tenant Improvement will promote internal client engagement and relationship management, including setting and attending meetings, creating or facilitating related content and contributing to detailed financial and occupancy analysis and recommendations.
This role will also work closely with the other Global Services departments to provide additional support on department infrastructure and broader department projects as needed.
This role reports to the Director of Real Estate.
Responsibilities include: Create, review and process pertinent project information, such as contracts, guidelines and proposals.
Collaborate on project goals and actively track all deadlines and project milestones.
Prepare, complete and track project budgets.
Organize and maintain a list of all active contractors, vendors and consultants and edit/negotiate/oversee all contracts and lease agreements.
Actively engage and assist all contractors, vendors and consultants with any inquiries throughout project.
Act as a firm advocate and assist in negotiation for all cost proposals.
Create, review and manage Request for Proposals (RFPs), ensuring the following are included: Instructions for the RFP and any requirements and descriptions of the project Scopes of work for all architecture and interior design A complete schedule that includes all project milestones Pricing forms Procure and assess consultants needed for the following: Engineering IT, Communications and A/V Security Food Lighting Code and Permit Review Acoustical Act as a liaison to design team and attend regular meetings to discuss project status/issues/decisions through each phase of design.
Collaborate on all furniture, communication, security and A/V requirements directly with architect.
Regularly conduct job site walkthroughs and visits and ensure all tests and inspections are completed.
Participate in negotiating and finalizing an executed contract with the general contractor.
Review and comment on general contractor’s project schedules including look-ahead schedules.
Monitor contractor performance as to cost and schedule.
Participate in regular construction progress meetings with the architect, engineers, general contractor specialty vendors and Landlord to: Review current project status, Identify and define open issues and pending decisions, Determine next critical action steps required and confirm parties responsible for accomplishing actions, Facilitate a smooth flow of communication between team members.
Manage life cycle of disbursements from the Landlord regarding the tenant improvement allowance.
Review and recommend for approval tenant allowance disbursement tracking reports provided by Landlord.
Monitor and confirm general contractor’s achievement of required permit inspections and approvals.
Confirm that close-out documents are provided by the general contractor and all project vendors (e.
g.
, as-built drawings, warranties, O&M, manuals, etc.
).
Conduct project close-out meetings with contractor and Prepare and provide final cost reconciliation reports – master budget vs.
committed final costs, general contractor change order reports and invoice history reports for A&E and vendors Coordinate with Finance and Accounting for lifecycle administration, reporting and tracking of CapEx project expenses Liaise with Procurement for the timely review, processing, approval and payment of real estate contracts, agreements and related documents Establish and document operational protocols supporting the lease administration services provided by the Firm’s preferred real estate broker Support a “best practices” strategy for the organization and retention of Firm real estate vital records and related real estate documentation QUALIFICATIONS The ideal candidate is self-motivated, detail-oriented, and is effective in problem solving.
The candidate must be committed to quality, customer service, teamwork, and supporting department goals.
This position requires strong written and verbal communication skills, superior attention to detail, excellent organizational skills, and the ability to multi-task and prioritize.
EXPERIENCE Bachelor’s degree is required.
4+ years of project management experience Gibson Dunn will consider for employment qualified Applicants with Criminal Histories in a manner consistent with the requirements of local law.
Compensation & Benefits: The annual compensation range for this position is $100-150k.
The salary offered within this range will depend upon qualifications and other operational considerations.
