WHAT YOU’LL DO
The Executive Development Administrator serves as a key support for the administrative and program needs of the leadership of the Major Gifts team.
This person is a highly organized, detail-oriented, and strategic team player who can exercise strong judgment, take initiative, and successfully work on concurrent tasks.
This person is an expert communicator, and both comfortable with and excited about working with various working styles, role groups and job functions.
They are a curious and creative data-driven thinker and will be responsible for working within databases to create meaningful reports and analysis, ultimately informing donor strategies.
They are proactive and innovative in developing systems, routines, and approaches to support the work of the team overall.
ABOUT THE ROLE AND TEAM:
While this person will directly support the team’s Vice President and one other senior leader, they will occasionally be called upon to assist across the Major Gifts team as needed.
They will report to the Assistant Director, Major Gifts.
The Foundation’s Major Gifts team works with donors (individuals and family foundations) to raise philanthropic support in the range of $100,000 to $5 million.
The team partners closely with the Foundation President/CEO’s office, and frequently interacts with the hospital President/CEO’s office, the Dean of the School of Medicine’s office, and Foundation and hospital board members.
The compensation range for this position is $95,000 to $105,000 annually.
YOU’LL BE RESPONSIBLE FOR…
Portfolio and Database Management (~50%):
Draft confidential memos, donor correspondence, and other timely donor pieces (gift forms, emails, etc.
).
Support the portfolios of the Vice President and one other senior leader through strategic tasks (portfolio reviews, meeting contact reports, event mailing lists, etc.
).
Actively update and maintain the Foundation’s constituent relationship management database (Raiser’s Edge), the data reporting platform (Power BI), electronic filing systems, and content-sharing platforms, including the reviewing, tracking, and reporting of funds and gifts.
Build complex report-generating queries in response to complex data requests.
As assigned, conduct light research updates on prospects and donors.
Administrative Management (~40%):
Manage highly complex calendars and scheduling for the Vice President and one other senior leader, including negotiating meeting requests, resolving scheduling conflicts with limited or no consultation, prepare the Vice President for meetings, and prepare agendas, materials and briefings as needed.
Plan, coordinate logistics for, and assist in staffing meetings and donor tours, in partnership with cross-functional teams, external stakeholders, and vendors, while ensuring timely communications and confidentiality.
Complete administrative tasks with accuracy, including taking notes, assigning action items and next steps, tracking, and managing the team budget, preparing expense reports and other administrative tasks, as needed.
Build a network of relevant administrative and faculty contacts at the hospital and School of Medicine.
Special Projects (~10%):
Help coordinate and execute donor events, and additional assignments at the request of the Vice President and Senior Director.
This may include managing invitation lists, coordinating logistics, managing briefings, and assisting at events as needed.
