The full-time Development Associate plays a crucial role in supporting all fundraising and development efforts to further the mission and impact of the Palo Alto Art Center Foundation.
This includes membership and fundraising support, marketing and communication, event planning, coordination and implementation, and database support (Salesforce).
The Development Associate collaborates closely with the Foundation Director of Development and staff, the Art Center Director and staff, Foundation contractors, volunteers, and the Board of Directors.
This position offers an exciting opportunity for a highly motivated and detail-oriented professional eager to gain skills and grow in the field of nonprofit and arts fundraising.
This 40 hour/week position reports to the Palo Alto Art Center Foundation Director of Development.
Evening and weekend work is required.
*Responsibilities:* *Fundraising and Membership Planning & Support—50%* * With the Foundation Director of Development, Art Center Director, and Foundation Operations Manager, the Development Associate actively participates in fundraising tactic development and implementation.
Assist with creating a seamless infrastructure for fundraising operations that supports and reinforces the Foundation’s fundraising activities.
* Provide project management support for Foundation fundraising (email, social and print) and membership campaigns.
* Responsible for all aspects of the donor database (Salesforce), including inputting new donor and member information, making updates, conducting exports and managing reports requested by staff, board members, and consultants, and reviewing donations for accuracy.
Perform data entry, oversee data quality in Salesforce.
* Works as project manager for all fundraising appeals, coordinating design, production, timelines, mailing lists and mailing for electronic and print materials.
In the process, works with internal staff and external consultants and service providers.
Coordinate and oversee volunteers and interns for mailings and events.
* Assist with membership fulfillment and member and donor customer service as needed.
* Work with Foundation Operations Manager to record contributions in Salesforce received from various sources, including individual donors, corporations, foundations, and earned income.
* Contribute to the success of Foundation fundraising by supporting the organization’s culture of philanthropy.
Promote a positive customer service environment for Art Center Foundation donors, volunteers, and the general public.
*Communications and Membership Marketing – 25%* * Draft and copyedit Foundation communications.
* Manage Foundation website through a content management system, completing tasks such as design, content, and platform updates.
Analyze traffic metrics and implements strategies aimed at enhancing user experience and improving functionality.
* Utilize Salesforce Account Engagement to create personalized outreach to donors, prospects, and members.
* Partner with staff and external design partners to produce Annual Report, Impact Reports, and Annual Donor Wall.
* Support all membership marketing campaigns; track and analyze renewal, upgrade, downgrade, reacquire, new memberships *Special Events – 25%* * Collaborate with Foundation and Art Center colleagues on all planning in support of member events, travel programs, and donor cultivation/stewardship activities.
Liaise with all event vendors and manage timeline, tasks list and staffing schedule.
* Serve on planning committees for Art Center and Foundation events, regularly staffing events by providing set-up, greeting, and point-of-sale services.
* For the annual Great Glass Pumpkin Patch, lead planning committee comprised of Art Center, Foundation, and BAGI colleagues.
*Qualifications* * BA degree or equivalent experience required.
* Minimum two years professional work experience in a museum, non-profit organization, gallery, fundraising department or equivalent experience is preferred.
* Understanding of fundraising principles, techniques, and best practices.
* Excellent interpersonal skills with commitment to customer service.
* Exceptional communication skills both orally and written.
Must be a competent writer with editing strengths.
* Proficiency with Microsoft Office applications, experience with Salesforce database products a plus, and an overall willingness to learn new applications.
Knowledge of Concur, QuickBooks, Square, website maintenance tools a plus.
* Highly organized, systems-oriented, strong analytical abilities.
* Demonstrated ability to maintain a high degree of accuracy and confidentiality with financial and donor-related data.
* Project management skills a must.
* Ability to lift 20 lbs.
* Positive attitude and motivated team player; works cooperatively with Art Center staff and volunteers.
* An interest in the arts and the role of arts organizations in supporting them.
* An interest in making a significant impact to a small nonprofit organization, to build and maintain systems and processes that will make a difference in our organizational success.
